ACS Parent 101

                  

New Parent Orientation

Carpool starts 15 minutes before class start time (e.g. 7:45 a.m. for Middle school and 8:00 a.m. for Elementary). Carpool numbers are provided at registration and must be displayed for student pick up (pg. 34 Policy and Procedure Manual and Parent Student Handbook). Students are required to follow the Dress Code (pg. 8-17). “Dress of Choice” days are offered throughout the year and consistently the last Friday of each month. Details of appropriate Dress of Choice clothing are also defined in the Dress Code Policy. Consult the school calendar for specific days. Snow Days – (pg. 33)ACS follows the Douglas County School District for snow-related closures. There are occasions when ACS may have a delayed start – The ACS website will provide closure information, additionally, an email will be delivered to the address on file.

   Communications                                                     

Homework pages can be found on the ACS website by clicking the Homework link, then the teacher’s name. Each ACS teacher manages and updates their page on a weekly basis. Teachers also communicate via Friday Folders (elementary) and email blasts.

ACS Staff and Deans – ACS staff and Deans are available for meetings and discussions. To set up a meeting, please email them directly [lastnamefirstinitial ] @academycharter.org.

Newsletter – Weekly newsletters are emailed to all ACS parents. This is the best way to learn about what is going on within the ACS Community. The Deans, SAC, PTO, and Governing Board provide information and volunteer opportunity announcements are included.

Email blasts – For immediate events, emails will be distributed a few days prior to the event. These are very specific and include timely information that is useful within a day or two following the announcement.

Charter School Definition                                                                                     

ACS is part of the Douglas County School District, but as a charter school, the day to day operations are managed by the Deans and the governing of ACS is managed by a governing board comprised of ACS parents. The best source for Charter School information is the League of Charter Schools – http://www.coloradoleague.org/index.php. ACS is a parent-“Governed” school, rather than a parent-“Run” school. Governing Board members (parents) and their committees (comprised of parents) determine the policies, and the Deans run the day to day school activities and uphold the established policies.

Parent Portal and Grades                                        

The Parent Portal is provided through the Douglas County School District (DCSD) and can be accessed via this link – https://campus.dcsdk12.org/icprod/portal/icprod.jsp or from the Parent Portal link on the ACS website. You will have a user ID and password to access your children’s grading pages on the portal. If you have trouble, use the “help” option on that site. You can also pay for school lunches through the Parent Portal(this can also be done at the ACS office).

Volunteer Requirements and Opportunities (pg. 25-26)          

Each family is required to do 20 hours of volunteer time each year. The ACS office manager is the parent volunteer coordinator. Throughout the year you will receive messages from your classroom coordinator and the office manager providing volunteer opportunities. The PTO, Governing Board, and SAC are always looking for help. Attend a working meeting and you will find many opportunities! The Volunteer Bulletin Board in the school foyer provides information throughout the year. You may log your volunteer hours via the Academy Charter School website:

1)   First, you must register for a TrackItForward account , which is free. www.trackitforward.com Then, click on Find your organization , and search for Academy Charter Volunteers.

2)       Click on Sign Up and enter your first and last name, password and carpool number and click sign up.

3)       Start logging your hours! You will see a form that says Log Your Hours on the volunteer site page – enter your activity (drop down list) and hours then click Submit. Your hours will be pending approval by the site administrator, but you will be able to see your own hours displayed on a graph. Once your volunteer site administrator has approved your hours for the first time, your hours will be added to the total number of hours of all the volunteers at your site. You can also log hours from the front page of the Academy Charter Website and on the Volunteer Corner Page on the ACS website. The Volunteer Corner on the website will also list opportunities to fulfill your hours. Attendance at PTO, SAC, and Governing Board meetings counts toward volunteer hours.

School Accountability Committee (SAC)

The SAC (School Accountability Committee) analyzes and discusses the school’s academic performance using test score data, as well as input from school staff, parents, community members, district representatives, and other ACS school board representatives. Through this research and discussion, the SAC will pinpoint ACS academic strengths and weaknesses. They present their findings to the Governing Board, who will use the information to improve academic performance at the school. The SAC meets quarterly; all families are required to attend at least one meeting per school year. Contact the Chairman for more information on opportunities to volunteer. Governing Board (pg. 41-48)                              

The Governing Board provides oversight for all policies and procedures of ACS. The board consists of seven elected parent volunteers and works to ensure policies are both enforced and modified, as necessary. Working meetings are scheduled, as needed, and provide an avenue for parents to work together to resolve issues within the school. General meetings are scheduled the 2nd Monday of each month and typically meet at 6 p.m. in the cafeteria. During these meetings, the Board votes on the recent issues being discussed and it brings to the parents’ attention any items that need to be publically addressed (reporting). Committees and opportunities for volunteering are available for all parents to participate. You are required to attend one Governing Board Meeting every year. www.academycharter.org/govboard.html

   Parent Teacher Organization (PTO)                          

The PTO is organized to provide support to the school and the teachers at ACS. The PTO works with the teachers and the Deans to provide support both financial and personal. Fundraising and acquiring funds is one of the main focuses of the team, but we also work to show our great teachers how the parents and students appreciate them. The PTO meets for both working meetings and general meetings, with the schedule being created at the beginning of the school year. There are many ways to volunteer with the PTO both at home and at the school. Visit the PTO website for more information – www.academycharter.org/pto.html. Each family is required to attend one PTO meeting every year.

Fundraising                                                

As a public Charter School we do not receive the same level of funding as a neighborhood public school. In order to subsidize the school’s expenses, parents are asked to help in various ways:

  • Direct Donations (fully tax deductible)
  • King Soopers Gift Cards (5% of groceries and gas purchased goes to the school)
  • Collecting Box Tops for education (www.btfe.com) and Labels for Education (Campbell Soup Labels)
  • Fund Raisers – Boot Camp and possible others, as needed
  • Safeway Cards

Registration Fees

Registration fees are collected during Fall Registration (usually held for two days on the week prior to school starting). Most of registration is done online and it is best to fill out the paperwork provided prior to attending your registration day. This speeds up the process for everyone. The schedule of fees are as follows for the current school year (all fees are subject to change each school year):

Student Planner (3rd – 8th grades) – $5
Yearbook (Optional) – $35
Band/Orchestra Fee ($25 per tri) – $75
Field Day T-Shirt (Optional) K-6th Grades – $7
School Directory (Optional) – $5
Technology Fee (K-8th) $20
Textbook Fees per Student – Kindergarten ($30), Grades 1-5 ($55), Grades 6-8 ($80)
6th Grade Outdoor Education Fee – $175
School Lunch payments – Any amount you want to pay to account
School Pictures are taken at registration also – $ depends on which packet you order

Parent Contract Reminder Checklist                                

Have/do you……….

  • Know and ensure child(ren) adhere to all dress code policies.
  • Meet with teachers as requested.
  • Volunteer 20 hours including: (10 must be completed before Feb.1 of current school year)
    • Attend at least one Governing Board Meeting
    • Attend at least one PTO Meeting
    • Attend at least one SAC Meeting
  • Read and understand Policy and Procedure manual.
  • Child(ren) will participate in all State Mandated tests.
